Information we collect

We collect only the information needed to provide the Service:

1. Phone number
   We collect your phone number to identify your account and to send and receive messages with you.

2. Chat content (stored history)
   We store the messages you send to CoachSays and the messages CoachSays sends back to you (“chat history”).
   If you include personal details in your messages (for example, your name), that information becomes part of your chat history.

3. Connected fitness data (if you choose to connect an account)
   If you connect a third-party fitness tracking account, we access and store the fitness data you authorize us to receive (for example, activity information and related fitness metrics). The exact data depends on what you authorize and what the third-party platform makes available.

How we use your information

We use your information to:

• Provide the Service and respond to your messages.

• Maintain continuity (using stored chat history) so the Service can remember context.

• Personalize coaching based on your chat history and (if connected) your fitness data.

• Operate, maintain, troubleshoot, and secure the Service (including preventing abuse and fraud).

• Comply with legal obligations and enforce our terms.

Messaging platforms and delivery providers

CoachSays communicates with you through third-party messaging platforms and communications providers. As a result:

• Your messages are transmitted through those third parties as part of delivering the Service.

• Those third parties may process information under their own terms and privacy policies.

Automated processing

We use automated processing to generate coaching responses based on your messages and stored chat history (and, if you connect a fitness account, your authorized fitness data). To do this, your messages may be processed by service providers that help us generate and deliver responses.

How we share your information

We do not sell your personal information.

We share personal information only with categories of service providers needed to run CoachSays, such as:

• Messaging platforms you use to communicate with us.

• Communications/delivery providers that route and deliver messages on our behalf.

• Hosting and database providers used to store phone numbers, chat history, and connected fitness data.

• AI/processing service providers used to generate responses and operate the Service.

These providers may process personal information only to provide services to us, and we require appropriate confidentiality and security protections.

International transfers

Our service providers may process or store information in countries other than your own. Where this happens, we take steps designed to ensure appropriate protection consistent with applicable law.

Data retention

We retain information for as long as needed to provide the Service:

• Phone number: retained while your account is active.

• Chat history: retained to support continuity and coaching context.

• Connected fitness data: retained to support coaching features and history.

You can request deletion at any time (see below). We may retain limited information where required for legal compliance, security, or fraud prevention.

Security

We use reasonable technical and organizational measures designed to protect your information. No system is completely secure, and we cannot guarantee absolute security.

Your rights and choices

Subject to applicable law, you may request to:

• Access the personal information we hold about you.

• Correct inaccurate information.

• Delete your phone number, chat history, and connected fitness data.

• Object to certain processing in some circumstances.

You can also disconnect any connected fitness account via that third party’s settings (which stops new data from being shared with CoachSays).

Children

CoachSays is not intended for children under 13 (or the minimum age required where you live). We do not knowingly collect personal information from children.

Changes to this Privacy Policy

We may update this policy from time to time. We will post the updated version and change the effective date above.
